GSK’s invoicing method of choice is electronic invoicing (e-invoicing). We are proud to support electronic invoicing in these 30 different countries via two e-invoicing partners, SAP Business Network (Ariba) and Tungsten Network/Kofax . (Tungsten Network is part of the Kofax company)

All other suppliers are welcomed to e-invoice GSK in those countries.

e-Invoicing removes the need for paper and we are confident you will see significant benefits to your business, including:
1. Greater invoice quality through Purchase Order conversion to electronic invoice (aka 'Purchase Order flipping')
2. Reduction in payment delays through faster receipt of invoices
3. Increased environmental sustainability through elimination of paper
4. While there is a small charge for submission of electronic invoices for companies who send more than 52 invoices annually using
Tungsten/Kofax and based on invoice value and volume using SAP Business Network, we believe this is more than offset by the savings in
efficiency and quality of the invoicing process. The SAP Business Network system may also require an annual subscription fee for some
users based on their business use.

You will be required to know the Tungsten/Kofax AAA number for the GSK entity(s) to which you want to connect.

Note: that SAP Business Network is only available to electronically invoice GSK entities in Canada, Puerto Rico and the United States.

E-Mail / Paper Invoicing

Suppliers who are unable to electronically invoice GSK should submit their invoices to GSK by e-mail,
where acceptable, or paper, where required. The correct e-mail and paper-based (mail) addresses for each GSK entity
are available in the Regional Invoicing Contacts section below. Invoices sent to the wrong e-mail address or wrong postal address will be rejected.
Invoices submitted by e-mail are subject to the following to avoid payment delays or risk of being rejected:
• Invoice file format must be a non-editable PDF. Any other file format will be rejected.
• Maximum e-mail attachment size is 10MB.
• Maximum e-mail size should not exceed 25MB.
• Each PDF file may contain one, and only one, invoice.
• 10 files(attachment) in an email as maximum.
• Supporting documentation should be in same PDF as the invoice, the invoice being the first page.
• The Character count of the attachment name is not to exceed 70 characters to ensure proper integration.
• All invoice details must be contained in the PDF attachment. Information included in the body of the email will not be considered when processing the invoice.

Invoicing Rules

Invoices, regardless of how they are submitted, must follow these rules to avoid payment delays and risk of being rejected:
1. Invoices must be submitted to the Country where the Purchase Order originated from, not necessarily where the supplier is located.
2. Invoices must be billed to the correct GSK entity that purchased the good or service. For Purchase Order-based invoices, this information is included in the Purchase Order footer section.
3. Invoices must have a clearly identifiable invoice number and invoice date. Invoices must be submitted promptly and shall not be
future-dated.
4. Invoices must include Vendor name, address and logo. Invoices should include relevant tax id.
5. Invoices should include banking details to which payment of the invoice is to be remitted.
6. Purchase Order invoices must reference one, and only one, valid Purchase Order Number.
7. Each Purchase Order invoice line item must be matched to one, and only one, Purchase Order Line Item and
must include the description of the Purchase Order Line item good or service.
8. Non-Purchase Order invoices, where accepted, must identify a single, valid GSK contact name and GSK e-mail address.
9. Non-Purchase Order invoice line items must clearly describe the good or service purchased by GSK.
10. All invoice line items must include a quantity, unit of measure, unit price and extended price.
For Purchase Order invoices, the unit of measure should match the Purchase Order Line Item’s unit of measure.
11. Applicable taxes, freight/shipping or other charges must be clearly identified on the invoice.
12. Credit notes against prior debit invoices must reference the original debit invoice number and, where applicable, Purchase Order number.
